About Us

The McKenzie Valley Long Term Recovery Group (MVLTRG) works to recognize needs, find resources, and help individuals and families recover from the 2020 Holiday Farm Fire. The ideal candidate lives in or near the disaster-affected area in Lane County, OR, and will be available for in-person meetings working in our offices in Springfield, OR. A limited number of WFH hours will be permitted. This position offers flexible hours.

The MVLTRG was founded in 2021. We have a growing staff consisting of an Executive Director, Program Director, a Senior Program Coordinator and a dedicated working Board of community members who share a passion and commitment to helping wildfire survivors rebuild their lives in wake of the fire.  We are adding several positions including the Office Manager and two Recovery Resource Navigators. About You

You care deeply and personally about supporting the needs of wildfire survivors in the McKenzie Valley. You have great organizational and time-management skills, have strong communication skills, meticulous record keeping capabilities, and are comfortable with a wide variety of software applications. You appreciate a flexible work schedule and environment, with a mix of computer work and direct interaction with others. You believe in the value of collaboration and partnerships, and have a knack for building relationships based on trust and mutual respect with other organizations and individuals.

Key Responsibilities

The Office Manager will have the following responsibilities:

·         Monitor email of the Executive Director, respond, re-direct, or prioritize actions

·         Answer phone, retrieve voice mail, respond, re-direct, or prioritize replies

·         Provide professional written communications for the Executive Director

·         Maintain Calendar for Executive Director, Board of Directors and Subcommittees

·         Schedule and Invite attendees for Zoom meetings for Executive Director, Program Director and Subcommittees

·         Book keeping including reconciliation of accounts, scanning and filing receipts, and correlating expenses to appropriate grants

·         Prepare presentations using a variety of applications

·         Run errands as needed to maintain a well-equipped, functional office

·         Prepare and distribute meeting agendas. Write and distribute minutes for Board of Directors and subcommittee meetings

·         Support committees as needed

·         Maintain files and Google Workspace

·         Other duties as required

Compensation

$25/hour or commensurate with experience. This is a part-time position (less than or equal to 32 hours a week) and therefore is not eligible for a health, dental, and vision benefits through our fiscal sponsor, Cascade Pacific Resource Conservation & Development. Personal vehicle mileage is reimbursed at the standard IRS rate.

Preferred Skills

·         Bachelor’s Degree or equivalent, relevant work experience and minimum of 3 years of combined experience in office administration, project management, bookkeeping, and/or communications.

·         Valid Oregon driver’s license with an ability to transport self to work related events, meetings, and networking opportunities.

·         Excellent written and verbal communication skills. Maintains professionalism and compassion when interacting with community members by email, phone, or in-person. Maintains confidentiality if presented with sensitive information.

·         Excellent organizational skills and attention to detail.

·         Excellent ability to prioritize tasks by assessing their urgency and significance. Ability to problem-solve and manage time appropriately.

·         Comfortable with flexible hours outside of the normal 9-5 workday (Monthly Board and/or subcommittee meetings may occur outside of this timeframe)

·         Knowledge of Microsoft Office suite including Excel, Outlook, PowerPoint

·         Knowledge of Google Workspace

·         Ability to learn other computer and/or web-based applications as needed
